Assign User Roles (Employee, Manager, Admin)
Set the right permissions for each user in your organization
Each user in Zal.ai needs an assigned role that determines their permissions and what they can see in the platform. This article explains how to assign roles when creating users and how to change roles for existing users.

Available Roles
- Employee – Standard access for participating in reviews and setting goals
- Manager – Can view and manage direct reports (requires setting up reporting lines)
- HR – Organization-wide access for calibration and oversight, except their own review data
- Admin – Full system access including all settings and configuration
How to Assign a Role to a New User
- From Settings → Users, click + to add a new user.
- Fill in the user's basic information and click Submit.
- After the user is created, click on their name to open their profile.
- In the Role field, select the appropriate role.
- Changes are saved automatically.
Important: You must create the user first, then assign their role. The role field is not available during initial user creation.
How to Change an Existing User's Role
- Navigate to Settings → Users.
- Click on the user's name.
- Update the Role field to the new role.
- If assigning Manager role, also set up their reporting lines (who reports to them).
Role Combinations
A user can have multiple roles. For example, someone can be both a Manager (for their direct reports) and an Employee (for their own reviews and goals). The system automatically handles this based on the organizational structure.
